INSTITUTIONAL PORTFOLIO MANAGEMENT OPERATIONS SPECIALIST
Leith Wheeler Investment Counsel Ltd. is an employee-owned investment counsel based in Vancouver. We manage over $17 billion of assets on behalf of pension, foundation, corporate and individual clients across Canada.
The role of the Institutional Portfolio Management Operations Specialist will be to streamline workflows and oversee individuals that support Pensions & Institutions Portfolio Management activities. The individual in this role will also serve as a business analyst and liaison to the firm’s Investment Analytics/Information Technology (IA/IT) group. As capacity allows, the scope of the role may expand to encompass project work in other areas of the firm. The role will report 100% to the VP of Operations and Corporate Strategy.
Specific responsibilities and goals for the first 18-24 months of employment are as follows. Projected steady-state allocations are based on current expectations and subject to change depending on the development of the role:
Initial Allocation: 50-60% | Projected Steady-State Allocation 30-35%
a. Coordinate the activities of the administrators that support the firm’s Institutional Portfolio Management team. Review the suite of administrator workflows and information/document management tools with an eye towards creating efficiencies that will enable the team to enhance the service level it is able to offer to Portfolio Managers.
b. Develop a mechanism for PMs to access and reference critical information on the road and develop a plan for ongoing maintenance by the Institutional Portfolio Management Administrators.
c. Oversee Quarter-End Reporting responsibilities, liaising with other groups, reviewing the process to take advantage of IT gains, and resourcing/supporting the team as necessary to ensure achievement of delivery targets.
d. Design and implement a streamlined client onboarding process that addresses the requirements set out in the 2015 3rd party evaluation of the firm’s current process. This project should involve coordination with the Private Client Portfolio Management team to ensure a consistent firmwide approach.
e. Explore whether any ongoing Associate responsibilities are appropriate for transition to Administrators
2. Business Analyst for Institutional Portfolio Management Group
Initial Allocation: 30%-40% | Projected Steady-State Allocation 30%
a. Assess Institutional Portfolio Manager needs from a new CRM software solution, work with management, IA/IT, and representatives from the Private Client group to determine and get Portfolio Manager buy-in for “minimum engagement standards” to optimize firm utility. Design a rollout process with adequate training for Portfolio Managers. Serve as a product expert for the identified platform.
b. Spearhead an initiative to review Institutional Client reporting practices with an eye towards identifying opportunities to automate production of consistent reports that can be supplemented with custom appendices to address client needs.c. Develop product expertise in APX and assess opportunities for Administrators to use this platform incrementally to improve client service.
3. Firmwide Projects
As Capacity Allows
Additional projects will be assigned as the role develops capacity. Examples of possible projects include:
a. Project Management - Work with the VP of Operations & Corporate Strategy to see through a wide variety of initiatives determined to be key operational priorities
b. New Product Setups – work with Investment Teams, third party vendors, and Operations team to develop workflows related to supporting new products.
c. Corporate Intranet – consider “buy or build” tradeoff for a corporate intranet platform and make a recommendation to management. Oversee firmwide implementation and maintenance.
This position will appeal to an experienced operations professional who has worked in the financial services industry with project management, process design, and managerial responsibilities in an investment management setting. Candidates should be passionate about operational efficiency and client service, exceptionally detail-oriented, and comfortable working in a team-based environment.
· At least 8 years of experience working in the investment or financial services industry
· Substantial human capital and project management experience
· Experience initiating workflow improvements and managing transitions in technology platforms
· A proven ability to build relationships, navigate challenging interactions, and work directly with clients to address their needs
· Outstanding communication ability, including writing and editing skills.
· A dual passion for operational efficiency and client service
· Computer skills: proficient in Excel, Word, PowerPoint, and Outlook
· Impeccable attention to detail
· Ability to manage multiple tasks and changing priorities
· Ability to work in a team-based environment
