Operations Analyst

Leith Wheeler Investment Counsel Ltd. is an independent, employee-owned, Vancouver-based investment counsel managing approximately $20 billion in assets on behalf of pension, foundation, First Nations, corporate and individual clients across Canada.

We are looking for an individual to support the Institutional and Private Client teams. This position will appeal to an experienced operations professional who has worked in the financial services industry with project management, process design, and client service responsibilities in an investment management setting. Candidates should be equally passionate about operational efficiency and client service, a self-starter, exceptionally detail-oriented, and comfortable working both collaboratively and independently.

Job Description:

Specific responsibilities and goals for the first 18-24 months of employment are as follows:

Internal and External Reporting
Time Allocation: 35%

  • Lead Institutional Quarter-End Reporting process. Liaise with other groups to collect required reporting data and manage data input and generation of reports using our portfolio management accounting system (APX).  Responsible for ensuring the team meets milestones and to ensure achievement of delivery targets while tracking any potential errors.
  • Support institutional portfolio managers and associates by managing input of benchmark data in APX when investment policy changes occur.  Work with Investment Analytics team to add new benchmarks to APX. Correct performance errors that may arise from system limitations and set up errors.
  • Oversee and act as an escalation resource for institutional admin on the daily performance file. 
  • Client Service Support: Provide day-to-day support for users and resolve issues independently where possible.  Escalate reporting issues to APX Support when necessary and participate in resolution process and end-user testing. 

Institutional Portfolio Management – Senior Administrative Support
Time Allocation: 20%

  • Lead Institutional Client Onboarding, Account Transitions, and Offboarding in coordination with Portfolio Managers, Operations, Compliance, and external parties (client, custodian, consultant, administrator, etc.). Explore and leverage CRM functionality to streamline this process. Partner with Compliance to carry out a comprehensive review of Institutional client documentation and develop a process to ensure client documentation is comprehensive and regularly updated.
  • Serve as a senior resource for the Institutional Admin Supervisor. Coordinate and carry out complex analytical tasks. Propose improvements to workflows and information/ document management tools with an eye towards creating efficiencies that will enable the team to enhance the service level it is able to offer to Clients and Portfolio Managers.  Assistance with audit requests, complex client queries, PM meeting minutes, and other cover as required.

Project and Systems Support
Time Allocation: 20%

  • Develop product expertise in APX and assess opportunities for Administrators to use this platform incrementally to improve client service. Serve as initial point of contact for APX issues experienced by the client service team. 
  • Coordinate cross-group communication, project collaboration and cross-training between client services teams and middle and back office groups.
  • Participate as a member of the project team for any future projects related to institutional portfolio management operations, APX and Salesforce. 

Salesforce System Administrator 
Time Allocation: 25%

  • Manage user licensing and permission sets, coordinate the purchase of new licenses, re-assign licenses and/or permission sets when personnel changes occur  
  • Client Service Support: Provide day-to-day support for users and define and support “minimum engagement standards”. Build reports, dashboards, and workflows to leverage platform functionality.
  • Data Quality Oversight Build and maintain monitors for Institutional and Private client Administration teams, carry out data enrichment activities.
  • Support and enhance declarative workflows and processes within the Salesforce Org
  • Manage existing applications and future installations of apps from the Salesforce app exchange.
  • Review Salesforce release notes for software updates and recommend activations or new features we should apply to our instance.
  • Participate in Salesforce user training for client service teams along with other Operations Analysts. 

Job Qualifications:

The ideal candidate will have the following:

  • Intermediate experience in the investment or financial services industry
  • Experience and comfort with overseeing the redesign and implementation of changes in workflows and technology platforms
  • Outstanding communication ability, including writing and editing skills
  • A dual passion for operational efficiency and client service
  • Experience with customer relationship management databases, Salesforce Certified Administrator credential is an asset
  • Experience with portfolio management accounting systems, APX experience is an asset
  • Computer skills: proficient in Excel, Word, PowerPoint, OneNote and Outlook
  • Impeccable attention to detail
  • Ability to manage multiple tasks and changing priorities
  • Ability to work with a broad range of professionals
  • Programming and/or development skills are an asset
