Leith Wheeler Investment Counsel Ltd. is an independent, employee-owned, Vancouver-based investment counsel managing over $22 billion in assets on behalf of pension, foundation, first nations, corporate and individual clients across Canada.

The primary role of the administrator is to provide operational support to the Institutional Portfolio Management group. This position will appeal to someone with experience in the financial services industry, preferably within an investment management setting, who is passionate about client service, zealous in their pursuit of operational efficiency, and comfortable working in a team-based environment.

Job Description:

Position duties: 

  • Prepare monthly and quarterly client reports, correspondence, and presentations
  • Support upcoming quarterly report automation process development and implementation
  • Respond to auditor requests
  • Support completion of Requests for Proposal and Due Diligence Questionnaires
  • Maintain client contact details and important documentation in CRM database
  • Support upcoming CRM transition through involvement in data migration, workflow development and training key personnel on the new system
  • Oversee client onboarding with internal and external stakeholders
  • Update quarterly product summary
  • Help with ad hoc projects of a group-specific or firm wide nature
  • General administrative duties

Job Qualifications:

  • Experience working in the investment or financial services industry
  • Completion (or current enrollment) in the Canadian Securities Course
  • Excellent writing and editing skills
  • A penchant for initiative-taking and problem solving
  • A dual passion for efficiency and client service
  • Experience initiating workflow improvements and managing transitions in technology platforms
  • Proficient in:
    • Excel (pivot tables, VLOOKUPS)
    • Outlook (shared calendars, meeting ownership)
    • CRM database and Portfolio Management Software (contact management, report production)
    • Word (version control, document polishing)
    • PowerPoint (advanced presentations)
  • Exceptional verbal communication skills, and demonstrated ability to interact directly with clients, preferably in a financial services related position

  • Ability to manage multiple tasks and changing priorities
  • An inquisitive mind
  • Comfort reading and editing legal documents
  • Ability to work in a team-based environment
