Portfolio Administrator/Receptionist, Private Clients and Foundations

15 to 21-month Contract

Leith Wheeler Investment Counsel Ltd. is an independent, employee owned Vancouver-based investment counsel / portfolio manager managing over $20 billion in assets on behalf of pension, foundation, corporate and individual clients across Canada.

We are seeking a self-motivated and independent individual who is dedicated to excellent client service to become part of our Toronto Private Client team. This individual is detail-oriented, a problem solver and able to work well under pressure. The successful candidate will work closely with 3 Portfolio Managers and an Associate, providing accurate, timely information and service support of the opening, reporting and managing of private client accounts.

Job Description:

Position duties: 

  • Provide administrative support to portfolio manager
  • Liaise with clients, custodians, consultants and internal parties to facilitate account activity
  • Process account opening, closing and ongoing administration with custodians, clients and consultants
  • Prepare monthly and quarterly reports
  • Prepare and assist with presentations
  • Maintain client data records
  • Assist with event planning
  • Reception and office manager duties:
  • Managing meetings – video conference
  • Ordering supplies/stationary and working with office providers
  • Courier coordination

Job Qualifications:

  • Administrative experience, ideally in a supportive role
  • Canadian Securities course and/or relevant industry experience 
  • Exceptional customer service orientation
  • Proficient in Microsoft Office and Adobe
  • Excellent verbal and written communication skills
  • Strong organizational and multi-tasking skills
  • Gives great care to details
  • Ability to work well independently and with others
